Overview

The Office Receptionist for Community Support Services (CSS) plays a vital role in overseeing front desk activities while projecting a welcoming demeanor to visitors, staff, and the public. This position is dedicated to delivering exceptional service by promptly greeting visitors both in person and over the phone, as well as offering general assistance by addressing inquiries or directing them to the appropriate personnel.

SCHEDULE:

  • This position is Monday – Friday, 8:00AM – 5:00PM, with a 1 hour lunch break.

WORK DESIGNATION

  • In-Person at our North Park office

Responsibilities

  • Answer, screen, and forward all incoming phone calls to the appropriate staff members or departments  
  • Greet, welcome, and direct all visitors at the front desk; effectively communicate with internal and external staff and visitors  
  • Maintain a tidy and presentable reception area with all necessary stationary and materials (i.e., pens, forms, and brochures)  
  • Maintain department directories  
  • Process office supply orders and manage delivery notifications and logistics  
  • Manage incoming and facilitate outgoing mail and packages; Receive and sign for incoming deliveries on behalf of the office and ensure proper notification of receipt  
  • Respond promptly to all email inquiries and questions  
  • Open and close the office as required  
  • Assist with general office tasks, including photocopying, filing, and data entry; Provide administrative support as requested  
  • Ensure compliance with Association protocols and procedures in all functions

Qualifications

  • Minimum three (3) years of experience in a reception setting, front office, and with general office procedures or equivalent required  
  • Experience with Microsoft Office programs, including Outlook, Word, and Excel  
  • Bilingual (English/Spanish) in reading, writing, and speaking required

  • Demonstrate proficiency in managing high volume of phone calls and the ability to convey messages effectively through both written and verbal communication  
  • Effective written and verbal communication skills, adept at engaging with diverse audiences both inside and outside the organization 
  • Must be dependable and reliable  
  • Visual and auditory ability to respond to critical incidents and the physical ability to act swiftly in an emergency  
  • Capable of performing repetitive motion tasks, such as folding, stapling, stuffing envelopes, typing, for extended periods 

PRE-HIRE CONTINGENCIES:

  • Licensing, state law and our funders require that applicants of critical positions within Community Support Services be fingerprinted, prior to reporting to work, and include subsequent arrest notifications  
  • CPR/AED, and First Aid Certification, must include Adult and Child/Infant, within 30 days of hire, and must be from one of the following certifying organizations: American Red Cross, American Heart Association, or American Safety and Health Institute

Pay Range

USD $19.69 - USD $23.63 /Hr.
