Overview

The Community Programs & Administrative Support Specialist plays a key role in advancing community engagement and organizational initiatives. This position leads strategic partnerships and outreach efforts, coordinates community and branch events, and promotes volunteer involvement and engagement. In addition, the role provides essential administrative support for executive meetings, communications, and initiatives, including Board of Advisors activities and the Annual Campaign.

Schedule

  • Location: Jackie Robinson Family YMCA
  •  9am-5pm - depends on board meetings, committee meetings, and fundraising events

Responsibilities

  • Develop and maintain strategic partnerships with local organizations, government agencies, schools, and businesses
  • Represent the organization at community meetings, events, and public functions
  • Plan, coordinate, and execute community engagement events and internal staff events
  • Promote, coordinate, and support volunteer opportunities, onboarding, and stewardship
  • Support executive-led projects and initiatives through planning, tracking, and reporting
  • Draft, proofread, and manage executive-level communications, including emails, reports, and presentations
  • Prepare and maintain Board documents such as, rosters, agendas, minutes, and follow-up actions
  • Provide administrative and logistical support to Annual Campaign leadership throughout the planning and fundraising process
  • Supervise the Office Administrator, ensuring completion of scheduling, reporting, information management, and office support tasks
  • Coordinate staff recognition programs and committees to strengthen employee engagement
  • Expert skills in Microsoft Office Suite (Word, Excel, PowerPoint, Outlook) for document creation, data analysis, presentations, and communication
  • Demonstrates clear, professional verbal and written communication
  • Effectively manages multiple tasks and deadlines
  • Navigates and resolves issues constructively and diplomatically
  • Demonstrates reliability, integrity, and accountability in all responsibilities
  • Manages details and data effectively, ensuring accuracy and accessibility
  • Brings fresh ideas to planning, problem-solving, and presentations

  • Provides guidance, support, and oversight to staff and volunteers
  • Other duties as assigned

Qualifications

  • Bachelor’s degree required
  • 3+ years’ experience in community engagement, event planning, volunteer coordination, program development, diversity and inclusion, administration, and executive support
  • Licensing, state law and our government funders require that staff within YMCA of San Diego County be fingerprinted, prior to reporting to work, and include subsequent arrest notifications 
  • CPR/AED, and First Aid Certification, must include Adult and Child/Infant, obtained within 30 days of hire and must be from one of the following certifying organizations:
    • American Red Cross
    • American Heart Association
    • American Safety & Health Institute

Pay Range

USD $26.04 - USD $31.24 /Hr.
